ADMINISTRATIVE AND ACCOUNTING ASSISTANT (AAA)

 

The AAA performs administrative, accounting and office support activities for multiple departments throughout the year:

1. Human Resources Department (Nov to March)

  •  Post job openings in different job sites
  •  Research the Internet to locate potential job candidates
  •  Classify , code and file resumes and applications received
  •  Schedule interviews
  •  Conduct employees’ reference check by phone, mail, email and/or fax
  •  Create employee files for summer staff
  •  Collect and file employees’ paperwork, making sure that all documents and certifications required are up to date and filed
  •  Compose routine correspondence in accordance with standard policies
  •  Maintain drivers’ qualification file
  •  Update and improve job site

2. Reservations Department (April to July)

  •  Take final payments. Review file for correctness prior to taking payment. Refer file back to Tour Consultant if necessary
  •  Produce travel documents. Print, organize vouchers into travel order, place into folder for mailing, print final invoice and voucher letter
  •  Send client’s final documents via preferred method either mail or email
  •  Process brochure requests for mailing
  •  Help with net client manifests
  •  Answer phones as needed

3. Accounting Department (July to October)

  •  Maintain vendor files
  •  Enter vendor bills in accounting program
  •  Verify vendor billing for payment in reservations system
  •  Prepare vendor payments in accounting program
  •  Run travel agent commission reports in reservation system
  •  Prepare travel agent commissions check in accounting program
  •  Other duties may be assigned as needed

The AAA will also work with the Sales & Marketing department providing support as needed during the year.

Requirements:

  •  College education in business management, accounting or HR is preferred and some applicable business experience
  •  Good computer skills are required. Knowledge of Word, Excel & Outlook
  •  Bookkeeping background
  •  Internet search abilities
  •  Excellent communication and writing skills
  •  Ability to work well in a team environment and willingness to help others.
  •  Strong work ethic and the ability to ensure the integrity and confidentiality of information
